Thou shalt know thy line items – thou shalt understand thy line item descriptions. When you start writing estimates in Xactimate you need to take some time to familiarize yourself with what is and isn’t in a line item. As a general rule, most carriers do not want you to utilize labor (LAB) line items as in theory everything that needs to be done should be covered in a line item scope of work. For those items that are out of the ordinary you need to ensure that there isn’t an Xactimate line item that covers the work you are requesting labor for. Also, ensure that you aren’t duplicating a scope of work that is already covered in the line item while also ensuring that you aren’t cutting yourself short by missing items that are omitted from the line item description.


Did you know clean toilet (CLN TLT) does not include clean toilet seat (CLN TLTS)? Know the line items and if approved by an adjuster or decision maker put in the F9 notes and get it in an email as well.


Get in the habit of peer reviews. Not the regional manager for billing approval but your other project managers. What line items and tips can you learn from reviewing someone else’s reports?

What items can be added, what items should be removed. How is the scope of work written?

Words matter and once you put them out there it is for all to read. Make sure the words you use in your F9 notes and in your emails cannot be turned against you on a loss. We never sanitize or disinfect a space. Do you know why? Please let me know and I’ll tell you if you are correct in your reasoning.
